Terms and Conditions

Payments

All payments must be made by the date specified when placing the order. This will also be displayed in your My Account section, and the email sent to you. We will endeavour to send reminders of any outstanding payments, however it is the responsibility of attendees to manage their payments. If you are not fully paid by the due date, and have not contacted us and received an extension, your registration will be cancelled. Any money paid so far will be refunded.

Extensions are available with mutual agreement up until one month before the start of the event. These may include specific terms, and are at the discretion of FurcoNZ staff.

Room Bookings (Camp only)

NOTE: Only applies to events with overnight accommodation.

If you book an entire room, we will ensure that you are placed with your requested roommates.

If one roommate in your booking does not complete payment, or has to withdraw from the event, you will be given first pick of another registered attendee to replace them. They must pay the difference if they need to upgrade room type. If you cannot find a suitable replacement roommate, FurcoNZ staff may either place another random attendee in your room, or keep that spot empty, at their discretion.

Refunds

Registration, activities, and transport are refundable until two months before the start of the event - minus a 10% fee. After this time, refunds will be made on a case-by-case basis in exceptional circumstances only. Where refunds cannot be offered, a free transfer of registration may be allowed at our discretion provided the newly registered party can comply with FurcoNZ Terms and Conditions. Merchandise is non-refundable, but can be shipped out after the event.

If an attendee is excluded or restricted during the event, no refund will be due. If registration is refused prior to the event a full refund will be made.

Transfers

Tickets are non-transferable without explicit approval of FurcoNZ staff. If you wish to transfer or sell a ticket, you must contact us in advance for approval. You are not permitted to sell tickets for higher than their initial purchase cost. We reserve the right to approve or deny any ticket transfers based on any criteria.

Safety, Damage, and Liability

FurcoNZ takes the safety of its attendees seriously. All accidents, near misses, or potentially hazardous situations must be reported to FurcoNZ staff in the first instance or, failing that, to Venue staff.

While FurcoNZ endeavours to take all due care, it cannot be held responsible for the choices or actions of its attendees.

Damage to FurcoNZ or Venue property must be reported to FurcoNZ staff. Where damage is caused by carelessness, negligence, or wilful act, FurcoNZ reserves the right to seek costs for repairs or replacement from the attendee(s) involved.

Attendees are responsible for any property they bring on-site. FurcoNZ cannot be held responsible for damage, loss or theft of personal belongings.

Medical - multi-day events

FurcoNZ provides dedicated first aid staff to act as medical support for the convention. They are there to assist and advise only, and will not be able to provide any services beyond first aid to attendees.

Anyone needing first aid should contact the first available staff member to be directed to our Medical team.

The Medical staff have the right to ask you to isolate in your room/cabin (or for Camp only, a dedicated isolation cabin), at their sole discretion. If this occurs you have the right to leave the site instead.

Attendees are responsible for the disclosure to FurcoNZ staff of any significant medical condition that may affect their stay or may affect their ability to participate in activities. This would include, but is not limited to, conditions such as severe allergies, epilepsy, diabetes, or asthma. Disclosures of this nature will be treated in strict confidence.

Attendees who have significant medical conditions are responsible for bringing any medications they require. Where an emergency medication is required (such as an EpiPen or asthma inhaler), it is highly recommended that the attendee provide spare medication to FurcoNZ staff for fast access should an emergency arise.

Anyone bringing controlled medicines to the FurcoNZ venue must declare them as part of their registration, under Medical Information in their My Account section.

No attendee is permitted to share ANY prescription or controlled medication with another individual.

ID Policy

All attendees will be required to present government-issued photo ID (for example, Drivers License, Passport, or 18+ card) upon arrival at con. Exceptions may be made for attendees under the age of 16, where parental ID or non-photographic ID may be accepted. This must match the Legal Name defined in your profile on the website. Please contact us well in advance if you have any issues meeting this requirement. We appreciate this may be challenging for some of our transgender attendees, where their ID does not match their preferred name. Please contact us as early as possible, as we can definitely accommodate.

Exclusions from FurcoNZ

The FurcoNZ staff can choose to exclude any individual from FurcoNZ, ahead of or during the event, for any reason at our sole discretion. Please see our separate Exclusion Policy for specific details.

Complaints

During the event, complaints must be made directly to FurcoNZ staff to ensure timely resolution.

Complaints about any of the FurcoNZ staff must be directed to the Con Chair only. The Con Chair will then deal with staff issues internally. Complaints about the Con Chair can be directed to any of the other Staff.

Outside of the event, complaints or appeals against bans must be submitted in writing to: info@furconz.org.nz
